Define the Workflow
There are three workflow setups needed for each bank. One for each of the content types of Form, Item and Shared Stimulus. The instructions for creating the workflow are the same for each content type. This document is showing the workflow for the Form content type.
- Navigate in ADAM to the Authoring menu
- Choose Banks
- Click on the tile for the Bank you need to edit
- Choose the Form Workflow tab
Form Workflow Tab - Add New Status
- Click the Add New Status button, found in the top right of the page

- Status Name - Choose a name for your status. The status name is used in the Form search and on the Form in the Form Status drop down list. You should set the initial check box to indicate that this status should be the default status for new forms being created.
- Status Visibility - Choose all roles with access to view forms with this Form status.
- Status Transitions - Skip adding transitions until you have added all the Form Status'.
- Click the Save Changes button near the bottom right of the page to save the changes made within the Form Status you just added.
- Start the process over by choosing the Add New Status button at the top right of the page. Repeat until you have added all the Form Status' for your process.
- Once all the Form Status values are added, click the Save button at the bottom right of the page. Do not forget to save the Bank, you will lose your work. ADAM reminds you if you try to leave without saving the Bank.
- ALTERNATIVE: Some users prefer to add their new Form Status...Save Changes, then immediately Save the Bank. It creates a few extra clicks, but accomplishes the same task.
Form Workflow Tab - Status Transitions
Add all your Form Status' (without Status Transitions) before you set Status Transitions
Setup of transitions lets you control to which form status a role can transition the form into next. If you want your forms to follow a development cycle of:
Form Creation-->Internal Form Review-->Client Form Review-->Form Final
You might want to restrict forms in Internal Form Review to only be allowed to move into either Form Creation or Client Form Review...but never directly into Form Final...unless you are an Admin, then you can transition to any Form Status.
- Navigate in ADAM to the Authoring menu
- Choose Banks
- Click on the tile for the Bank you need to edit
- Choose the Form Workflow tab
- Choose the Status you need to edit by clicking anywhere in the tile
This opens up the Status and allows you to edit the Status and work with the Status Transitions - Click the Add Status Transition button
- Set your Next Status and Roles that can transition to it

- Next Status - set a rule to allow this form to move from it's current status 'Form Creation' into a new status
- Roles that can transition to it - define what roles have authority to move to the next status.

- Repeat the process of adding Status Transitions to each Status.
This is how I would set up the Status Transitions for Internal Form Review if I want to maintain the workflow for the Testing Role, but allow the Generic Admin Role to skip part of the flow - Click the Save Changes button near the bottom right of the page to save the changes made within the Form Status you modified.
- Once all the Form Status values are added, click the Save button at the bottom right of the page. Do not forget to save the Bank, you will lose your work. ADAM reminds you if you try to leave without saving the Bank.
